Guidelines and Practical Information
For Speakers
- Please arrive at the lecture room at least 10 minutes before the session starts. Check in with the session chair and test the A/V equipment.
- The location of your session is shown in the Schedule Section of the Conference Booklet and in the Master Track Schedule (will be published later).
- Time your presentation to fit the allotted time (usually 18 min for 5 speakers, 22 min for 4 speakers) including time for questions and audience participation. Presentation should be limited to key issues along with a brief summary. Feel free to bring along copies of your paper to distribute or to provide a handout.
- All lecture rooms are equipped with a video beamer and a computer with a CD-ROM drive.
- Please provide your presentation on a USB memory-stick or on a CD 10 min before session starts to your assistant in the lecture room.
- Your presentation has to be compatible with the software installed on the computers in the lecture hall (see Software Description Sheet.pdf)
- We do you NOT allow the use of your own computer for the presentation- for time reasons!

Prior to your lecture, you may test your presentation concerning technical adequacy at the Speakers' Check-In, Room G 210. The IT-assistant can assist you in case of technical incompatibility.
For Session Chairs
The role of the Chair is to coordinate and to ensure the smooth running of the session. The Chair:
- Contacts the speakers 10min before the session, to verify who will present and to pre-empt any technical problems.
- Begins and ends each session on time. Each session lasts 90 min (except 60 min for FC-session on Friday). The chair allocates equal time to each presentation (18 min with 5 speakers, 22 min in case of 4 or less speakers).
- Introduces the speaker and the title of each presentation.
- Ensures that presentations are made in the order shown in the program, to allow participants to jump between sessions. If a speaker cancels or does not attend the chair is free to allocate the time to the presentations.
- When appropriate, produce visual warnings to speakers as to the number of minutes (e.g. 5,3,2) left by using the prepared cards placed in the room.
- Asks for questions and thanks the speaker.
